Terms of Service

These terms are the agreement between you and CardLink. By creating an account, or by using a workspace somebody created for you, you accept them.
1. Definitions
- Service — the CardLink software and the cards published through it.
- Workspace — one organisation's account, its team and its cards.
- Owner — the person who created the workspace, or anyone later given the owner role.
- Your content — everything you put in: names, titles, contact details, logos and photographs.
2. Accounts
- You must give accurate details and keep your password to yourself.
- You are responsible for what happens under your account. Tell us immediately if you think somebody else has access to it.
- One account belongs to one person. Sharing a login defeats the audit log and we may suspend accounts that do it.
- Your workspace owner can change your role, disable your account, or remove you.
3. What you may not do
- Impersonate another person or organisation, or publish a card that misrepresents who somebody works for.
- Upload anything unlawful, misleading, or that you do not have the right to use — including logos and photographs of other people.
- Put someone else's contact details on a card without their agreement.
- Attempt to reach another workspace's data, probe for vulnerabilities without written permission, or interfere with the service's operation.
- Resell or white-label the service unless we have agreed to it in writing.
We may suspend a workspace immediately where there is a credible security or legal reason. Where we can, we will explain why.
4. Your content stays yours
You keep ownership of everything you upload. You grant us only the licence we need to run the service: to store your content, and to display it on the cards you choose to publish. That licence ends when you delete the content or close the workspace.
You confirm that you have the right to use everything you upload, and that publishing it does not breach anyone else's rights.
5. Published cards are public
A published card is designed to be opened by anyone who has its link or QR code. It is not protected by a password and it may be indexed by search engines. Do not put anything on a card that you would not hand to a stranger. Unpublishing a card stops it loading, but cannot recall copies already saved or cached elsewhere.
6. Plans, trials and payment
- Plan limits — team members and cards — are listed on your Plan & usage page and enforced by the software.
- A trial runs for the period stated when you sign up. When it ends without a paid plan, there is a grace period of 7 days before access is restricted. Your data is not deleted during that time.
- Prices are shown in your workspace's currency and exclude any local tax such as VAT unless stated.
- This installation has no online payment provider connected. Any billing arrangement is made directly with us, and these terms apply to it.
7. Availability
We aim to keep the service running continuously, but we do not promise uninterrupted availability, and we may take it down for maintenance. Unless we have signed a separate service-level agreement with you, the service is provided "as is" without warranties of any kind.
8. Ending the agreement
- You can leave a workspace, or an owner can close it entirely, at any time from Settings → Account.
- Closing a workspace deletes its users, cards and analytics, and its published cards stop working immediately. This cannot be undone — export first.
- We may terminate an account that breaches these terms, or where required by law.
9. Liability
Nothing here limits liability for death, personal injury, or fraud, or any liability that cannot lawfully be limited. Subject to that, we are not liable for indirect or consequential loss, lost profits, or lost business, and our total liability in any twelve month period is limited to the amount you paid us in that period.
10. Changes to these terms
We may update these terms. For material changes we will notify account holders by email at least 14 days beforehand. Continuing to use the service after that means you accept the new terms; if you do not, you may close your workspace.
11. Governing law
These terms are governed by the law of the country in which we are registered, and the courts there have jurisdiction — except that if you are a consumer, you keep the protection of the mandatory laws of your own country.
